The core issue wasn't the UI—it was the decision architecture. I mapped the 14-step approval chain and identified that most stalls happened because of policy ambiguity. My strategy was to embed the "policy engine" directly into the form logic, providing real-time feedback and automating "safe" approvals based on employee seniority and budget status.

Form Simplification
The core design challenge was turning a massive bureaucratic form into an intuitive wizard. We implemented progressive disclosure, showing only relevant fields based on the trip's complexity. Auto-filling employee data and historical preferences eliminated repetitive data entry.
Actionable Dashboards
For managers and finance approvers, we designed a dense but highly scannable dashboard. By utilizing neon accents (green for under budget, red for policy violations), approvers could evaluate and greenlight requests directly from the home screen in seconds.
